How personal trainers and fitness studios get clients: a 90-day plan

How your buyer buys: Modest price, bought again and again. Retention is the whole economics.

Someone who decides to get fit decides at a moment: a January resolution, a September return to routine, a photo they did not like. They search for a personal trainer or a Pilates class in their town, scroll Instagram for a face they could stand to see twice a week, and message at 10pm. The trainer who replies that night with a booking link gets the consultation.

They are not buying a session, they are buying the next three months, and most drift away around session six. So the first month matters more than the first enquiry. What keeps them past the point where most clients quit is a paid trial with the price beside the button, then a monthly membership by direct debit with a freeze option. The next two sessions, confirmed before they leave the floor, do the rest.

Which puts the order like this. The booking link, the paid trial and the named monthly plan come first, in week one. Then the profile, the review on a milestone day and the certificates a stranger can check. Then the rebook habit, the message on the day someone drops below once a week, and the video, the physio partnership and the trial ads that bring the next wave in.

Step zero

The free checklist, before the plan.

The checklist repairs what you already have: the phone, the profile, the booking path. This page is the plan for new work on top of it, and the two are different jobs.

Where they look

Where your customers actually look.

  • Google Business Profile(opens in a new tab)

Personal trainer or Pilates class with your town ends in the map pack. Pick Personal trainer, Gym or Pilates studio as the primary category, set a service area if you train in parks or homes, and say who you train.

  • Instagram(opens in a new tab)

Where a prospect looks at your face and your clients before they message. Real session clips and coaching cues with your town in the caption, and the booking link in the bio, so the 10pm message has somewhere to go.

  • CIMSPA(opens in a new tab)

The chartered institute for the sector, with a public register of practitioners. Membership is something to show beside your Level 3 or Level 4 certificates, first aid and insurance, where a stranger can check it.

  • Local gyms and studios

The trainer board at the gym where you rent floor space, and the class timetable at the studio you teach in, are seen by people who are already paying to be there. Keep your card on both with the trial price on it.

  • Town Facebook groups

Can anyone recommend a personal trainer or a Pilates class is asked every week. A reply with who you train, where and when, and the booking link, puts your name in the thread before a competitor's.

Your year

When the phone rings, and when to start.

New year resolutions and the September return to routine drive sign-ups; August and December go quiet.

  1. Jan: peak
  2. Feb: peak
  3. Mar
  4. Apr
  5. May
  6. Jun, start the visibility work
  7. Jul
  8. Aug: quiet
  9. Sep: peak
  10. Oct, start the visibility work
  11. Nov
  12. Dec: quiet

Amber months are the peak, grey months are quiet, and "start" marks the month the visibility work has to begin in.

  • January to February peak: start by October, because local search takes about three months to move.
  • September peak: start by June, because local search takes about three months to move.

Two waves fill a trainer's year. January and February bring the resolution sign-ups, and September brings the return to routine after the school holidays. August and December are the quiet months before each, and quiet is when the people who will sign up make up their minds. The profile, the trial page and the video take a quarter to work, so the work for January starts in October and the work for September starts in June. Use the quiet weeks for the slow jobs: the membership terms, the physio and employer conversations, the certificates on every profile. Message paused and past members in late August and in the first week of January, when the decision is fresh and a familiar name beats a new search.

The cost of waiting

What doing nothing costs personal trainers and fitness studios.

The leaks below are the ones the personal trainers and fitness studios page already names. Put a figure on each, see what the fix gets back a month, and how many weeks the kit or the bundle takes to pay for itself.

Industry estimates, not client results

Industry-typical ranges for a personal trainer or small studio: a session priced in the tens of pounds, about half of enquirers starting, and a client training close to weekly through the year.

Every number below is prefilled from that estimate and editable. Put your own figures in and the leaks, gains and payback recalculate as you type.

What matters most

The levers that carry the most weight here.

For a trainer the weight sits on four steps. The paid trial that leads into a membership, because a free taster is forgotten and a paid one is kept. The plan with a name and a monthly price, collected by direct debit with a freeze as well as a cancel. That turns ten-session blocks into income that arrives on the first of the month. The message on the day a member drops below once a week, sent in person, because that is the week they are deciding to stop. And short video: one coaching cue, one real session, one answer to a common question, each week, on one platform. Meta ads for the trial run on top once the trial page and the reply within minutes are in place.
